Building an Employee Handbook That Actually Gets Read

An employee handbook has two jobs: setting clear expectations for your team and protecting the business legally. Too often, companies focus only on the second and end up with a document nobody reads.

Start with structure. Organise the handbook around the employee lifecycle. set the rules for onboarding, day-to-day policies, leave and benefits, code of conduct and exit process rather than a flat list of rules. This mirrors how employees actually look things up.

Keep the language plain. Legal accuracy doesn't require legal jargon; a policy explained in clear, direct language is followed more consistently than one buried in formal phrasing.

Review it annually. Labour law changes, new benefits and evolving workplace norms (like hybrid work policies) mean a handbook written two years ago is probably already out of date.

Also, make the handbook easily accessible through your HR portal or employee platform so employees can refer to it whenever needed.

Clearly define point of contact when employees have questions or need clarification on a policy. Avoid copying generic policies without adapting them to your organisation’s actual practices and workplace requirements.

A well-maintained handbook should be a practical guide that supports both employees and management throughout the employment journey.

Finally, make acknowledgement part of onboarding. Not just a signature on day one, but a short walkthrough that gives new hires a chance to ask questions before they need the answers.
